Operations & Sales Administrative Assistant - Talentzok

OVERVIEW

Immediate opening for an Operations & Sales Administrative Assistant in Mission Viejo, CA who possesses:

1. Experience as an Account Coordinator with client communication

2. Detail-oriented

3. Excellent verbal and written communication

4. HubSpot experience a huge plus but not required

FULL DESCRIPTION:

Responsibilities:

  • Coordinate all aspects of media kits being sent to potential and existing clients
  • Manage reports and audits
  • Maintain communication with distributors to coordinate shipments and equipment.
  • Maintain client portal which includes client pictures and job totals.
  • Provide assistance to the account manager and sales team to ensure sold projects are on time and necessary client information and approvals have been obtained. Including print proofs, data approvals and any other program specific aspects.
  • Assist with administrative tasks within the sales department including preparing for client presentations, setting up meetings and travel
  • Create and maintain job channels (slack) for all ongoing jobs.
  • Assist distribution manager with ensuring maps and equipment is provided to the distributors and auditors for all jobs.
  • Develops streamlined approaches to quality assurance protocols
  • Aid in customer complaints/issues by providing detailed analysis and mapping of distribution
  • Other duties as assigned.

Requirements:

  • Bachelors Degree or equivalent required
  • Strong computer literacy (i.e. Excel, Word, PowerPoint, Outlook, ACT!) experience with the Adobe Suite preferred
  • Excellent communication skills (e.g. proposals, plans, memos, etc.).
  • Must be able to multi-task and manage multiple projects at a time.
  • Bachelor's Degree in Business, Marketing or Communications emphasis preferred.
  • Ability to sit for six hours; stand for six hours and lift 40 lbs.

Knowledge, Skills, & Abilities-

Excellent communication skills, critical thinking, complex problem solving, ability to manage projects with minimal supervision, ability to evaluate and analyze spatial data, ability to assess strategic priorities, detail oriented, good math skills, basic SQL knowledge, proficiency with MS Office and Google Drive Suite, ability to sit for six hours; stand for six hours and lift 40 lbs.

Pay Rate: $22-$25/hr
